Moodle gradebook export for early warning lists

One way to tackle early warning lists is to export the grade book.

The Export option is at the very bottom of the drop down menu and may require scrolling the drop down menu to see this item.


On the Export page scroll down to the bottom.



Click on the Select all/none to deselect the items. Then select only the Course total item. This will reduce the number of columns in the export.

 


 

In the Export format options include the percentage and, if desired, the letter grade. Then click on Download in the lower right corner of the page.


The file will download as an OpenDocument Spreadsheet, the format used by LibreOffice.org. LibreOffice is a free open source office suite available for Windows, Mac, and Linux operating systems. Moodle, also being open source, intentionally chooses to use open document format.


The issue of missing assignments and how empty grades are treated (null grades, not zeros, displayed as hyphens in the grade book) can be seen above. There are 144 points to date, but the third student only attempted one assignment out of the 144 points. They have 100% on that assignment, so they have 100%. The unsubmitted assignments are carrying null grades. Thus instructors will have to sort through the output depending on how they have set up their grade book.

 




Instructors can use Excel, but there will be alerts and warnings that will pop up. 

A workaround for the empty grades related issue above is to add a column in the exported spreadsheet with percentages of current maximum range.



If the Course grade settings: User report: Show ranges has been left as default (Show), then in the lower right hand corner of the gradebook is a range value, an overall average, and a count of the values. 


There are likely to be scores above the range maximum in the Grader report. This appears to be a result of assignments that are still open for submission not being included in the Range. As those assignments could still be completed by the student, these assignments should not be held against the student. 


In cell H2 of the above spreadsheet is the formula:

=G2/144

Once filled down, this provides a more accurate reflection of performance for gradebooks with empty grades.
